Receive stock
When a delivery arrives, you receive it against its purchase order. Shelfcast adds the stock to what’s available in Shopify at the order’s destination, and keeps track of what’s still to come.
You can receive an order that’s Ordered or Partially received. Open it and press Receive stock.
Enter what arrived
Section titled “Enter what arrived”The Receive [number] page lists every product on the order with how many were Ordered, how many are already Received, and how many are Outstanding. Enter what arrived in the Receiving column:
- Type the quantities for each product.
- Receive all fills in everything outstanding, for a complete delivery.
- Clear all empties the column so you can start again.
Then press Receive [number] units. You’ll see, for example, “24 units received”.
Scan items in
Section titled “Scan items in”The Scan or enter a barcode or SKU field adds one to the matching line each time you scan. It matches a product’s barcode, its SKU or its supplier SKU, in upper or lower case.
- A barcode scanner that types the code and presses Enter — most USB and Bluetooth scanners — works with no setup. Click in the field and scan.
- On a phone or tablet, press the camera button next to the field to scan with the device’s camera. If the camera doesn’t open on your device, you’ll see “Something went wrong. Try again.” — type the code or use a scanner instead.
Each scan shows the product and its new count, such as “Canvas tote: 6”. A code that isn’t on this order shows “[code] is not on this purchase order”. You can’t add a product to an order while receiving it.
Part of an order, or more than you ordered
Section titled “Part of an order, or more than you ordered”Part of an order: receive what arrived. The order becomes Partially received, and you can come back to receive the rest whenever it turns up. If the rest is never coming, close the order. → Purchase order statuses
More than you ordered: enter it anyway. The line shows, for example, “2 more than ordered”, and the extra units are added to your stock like the rest.
What happens in Shopify
Section titled “What happens in Shopify”The page reminds you: “Stock is added to what is available at [location], without overwriting any sales made meanwhile.”
For each product whose inventory Shopify tracks:
- The units Shopify was showing as incoming for this order move from incoming to available at the destination.
- Any units beyond that — extra units, say — are added straight to available.
Shelfcast changes stock by adding to it, never by setting a new total. If you sell three of something while you’re receiving it, those three sales still count.
Every change shows in History with the reason Received and your name. → Read your inventory history
The order becomes Partially received while anything is still outstanding, and Received once every line is complete.
If Shopify didn’t record an order’s incoming stock when it was placed, you’ll have seen “…marked as ordered. Shopify did not record its incoming stock, so receiving it adds stock directly.” Receiving then adds everything straight to available. The same goes for orders you imported.
If something goes wrong
Section titled “If something goes wrong”“Shopify could not update inventory: …” — Shopify refused the change, and the message after the colon says why. Shelfcast records nothing for the products Shopify refused. Reload the page to see what’s outstanding, then try again. If it keeps happening, email support with the message.
Pressed Receive twice? A delivery that’s sent twice is applied once, so you won’t receive the same units twice by accident.
“Enter how many units arrived.” — every quantity is 0. Enter at least one.
“This purchase order is not waiting for stock.” — the order is already Received or Cancelled, or it’s still a draft.
After you receive
Section titled “After you receive”The order’s Received section lists each receipt, with the product, date, quantity and who received it.
On Growth and Pro, a banner offers Print labels for the units you just received. → Print barcode labels
